Terms and Conditions

 

The Travel Agreement.  The travel agreement between a client (hereinafter referred to as traveller) and WheelEasy is concluded by the traveller’s acceptance of WheelEasy’s offer. The person who enters into a travel agreement on behalf of or for the benefit of another person is jointly and severally liable for all obligations arising from the agreement. Every other traveller is liable for his own share. In the terms and conditions, travel organiser WheelEasy and traveller mean all booked participants.

 

Booking. A booking is made after receipt of the registration form or telephone statement. The tour operator confirms the acceptance of a registration in the form of a confirmation/invoice. Only in exceptional circumstances is it possible to deviate from the published travel offers. In that case, any communication costs and additional booking costs will be charged. Said deviations only form part of the travel agreement after they have been confirmed digitally or in writing by WheelEasy – no verbal acceptance of deviations will be recognised.

 

Payments. After the conclusion of the travel agreement, the traveller must make a deposit within 8 days. The initial payment is equal to 35% of the travel sum with a minimum of €100 per person. The remaining amount must be in the possession of WheelEasy no later than 8 weeks before the day of arrival. For bookings made within 8 weeks before a departure date, the entire travel sum must be paid when the reservation is made.

Prices. The published amounts are typically per group, unless stated otherwise. The amounts are based on prices, levies, conditions and taxes as known when the program (October 2023) was drawn up. In the event that an error or mistake has been made in determining the cost of the package, WheelEasy reserves the right to apply an additional charge to the booking to accommodate.  Additional Services/Extras provided during the course of the service period will need to be paid at the time of purchase.

Traveller changes.  The traveller can request changes to the travel agreement up to 28 days before departure. WheelEasy may charge € 25 change costs for this. After this, changes will generally no longer be possible but we will do our best. WheelEasy will inform the traveller immediately whether the request can be honoured.

Cancellation by the traveller. (in accordance with the generally applicable rules within the travel world). Reservations can only be cancelled in writing or digitally.  All requests will be acknowledged via the same communication channel.

The cancellation costs are:

  • 35% of the rental if cancelled up to 90 days before the booked start date (minimum €200)
  • 70% of the rental if cancelled between 29 and 98 days before the booked start date (minimum €200)
  • In case of cancellation within 28 days before the booked start date, the full rent is due.

In case of later arrival in the tent or earlier departure than reserved, no refund will be made. Cancellation costs may be recovered if you have taken out cancellation insurance. Whether that works depends on the conditions of the insurance and the reason for cancellation.  We strongly recommend you take out travel insurance to cover any unforeseen eventualities.

Cancellation by WheelEasy . WheelEasy reserves the right to cancel a trip in serious circumstances, such as insufficient participation. If a trip is cancelled, you will generally be notified immediately.  In the event that the cancellation is made by WheelEasy all monies paid for the service will be reimbursed.

Substitution.  If one or more registered travellers are unable to participate in the trip, they can be replaced by other persons. The request must be submitted no later than 7 days before arrival. Administration and/or communication costs may be charged for this.

Travel time.  The stated duration is indicated in days. On the day of arrival, the booked facilities can be used from 4 pm. The last day of travel ends at 10:30 am. The rental of bicycles is also included in this.

Travel documents. Copies of the necessary travel documents will need to be sent no later than 4 weeks before the day of arrival. You must have a valid passport or identity card in your possession available for presentation when if/when requested by our staff or by the staff of our partner organisations (campsites/hotels etc).

Liability. WheelEasy is liable for the proper performance of the obligations arising from the rental agreement. This applies to himself as well as to other service providers engaged by him. WheelEasy accepts no liability for damage for which travel and/or cancellation insurance usually provides cover. You always remain liable for damage to or loss of all items rented to you including the tent, tent contents and rented bicycles. Damage to or loss of these items must be reported immediately and settled financially.

Reservation/adjustment of travel schedule. The routes and overnight places can be changed without prior notice due to local circumstances and/or improvements to the program. If the changes are far-reaching, you will immediately be notified in writing of the change and/or adjustment.

Traveller’s Obligations.  The traveller is obliged to comply with all instructions from WheelEasy to promote the proper execution of the trip. He is liable for damage caused by his unauthorised conduct, to be judged by the standard of the conduct of a proper traveller.

The traveller who causes or can cause such a nuisance or nuisance that the proper execution of a trip is thereby greatly hampered can be excluded from further continuation. All resulting costs will be borne by the traveller, if and insofar as the consequences of nuisance or burden can be attributed to him.

Material.  Serious damage to the rental bicycles or theft thereof are at your own risk. A deposit per rental bike may be requested on arrival, which will be refunded at the end of the trip, provided there is no damage. The tent material is covered against damage under normal use and adequate care. The standard materials such as bicycles and tents can be replaced by comparable or better material.

Luggage. All luggage and personal property remain the risk of the traveller at all times. The tour operator accepts no liability for loss or damage to luggage and personal belongings, however caused. All participants in the travel organiser’s trips are expected to take out travel insurance for risks that are covered by the usual travel accident and luggage insurance policies. Per participant, the transport of 2 pieces of personal luggage between the pitches is included in the package with a maximum weight of 20 kg per piece of luggage. The driver has the right to refuse an excess of luggage.

 

Complaints.  WheelEasy does its utmost to make your holiday a success. Any irregularities found during the trip must be reported to our site manager as soon as possible. He will strive for a suitable solution. If the complaint is not resolved satisfactorily, it must be submitted in writing and with reasons no later than one month after the end of the trip. If the handling of the complaint has not yet been resolved to the satisfaction of the traveller, the competent court can be called in no later than 3 months after the trip.

Other information. Travellers must respect the rules of conduct that the campsite owner has established for his guests. In the early and late season, it is possible that a number of facilities and activities are no longer offered at a campsite.
