How do we at WheelEasy deal with your personal data?

Carefree holiday fun, that’s what we stand for at WheelEasy. Of course you must be able to count on us to handle your personal data correctly. In this privacy statement you can read:

  • what data we collect
  • what we do with your personal data
  • why we collect personal data
  • when we share personal data

We also indicate where you can indicate if you believe that WheelEasy should handle your data differently than described here.

We are SAS BT Services – a business registered in France.  We use the names WheelEasy and Velo-Voyages to label certain services we offer.

What data does WheelEasy collect?

When you book a holiday with us, we ask you for your:

  • first name
  • your last name
  • your date of birth
  • your address
  • your mobile phone number
  • Your email address
  • and an emergency telephone number where we can reach relations if something is wrong.

From those travelling with you:

  • first name
  • last name
  • date of birth

You are the organiser are responsible for ensuring that the fellow travellers give permission for us to use this information.

Payment

If you pay us, we know your bank account number on which the payment was made and we are aware of your payment behaviour towards WheelEasy. We know the costs of your holiday and are also aware of any discounts and promotions.

History

We know how often, when and where you have been on holiday with WheelEasy and we also know who you have been on holiday with.

What does WheelEasy know about you when you look at our website, open our newsletter, visit our Facebook page or other social media, complete a survey or participate in a WheelEasy competition?

  • We know which route and/or hotel/campsite and which type of bedroom/tent you are interested in
  • We have information about how you arrive at the hotel/campsite and when.
  • We know your IP address and have information about your browser. We also know the type of operating system.
  • We know which digital route you have taken to make a booking at WheelEasy.

We know your personal data if you leave it. If you send us an e-mail, we know your e-mail address, if you call us we are aware of your name, telephone number and if you contact us via social media, we are aware of your personal data or preferences.

WheelEasy works together with other companies

If you engage the services of WheelEasy, we may share some of personal data with our partners. For example, with the campsite where you are going on holiday and our service staff at the campsite. The data that may be passed on is:

  • first name or initials (also of fellow travellers)
  • your surname (also of the fellow travellers)
  • your date of birth (also of the fellow travellers)
  • your address
  • your phone number
  • Your email address
  • possibly an emergency telephone number incase something goes wrong

If the holiday consists of several contiguous destinations, the route of your holiday:

  • arrival and departure dates
  • type of bedroom/tent
  • the name of the hotel/campsite where you will be accomodated.

If we share personal information with other organisations, we make it clear to them that they will keep your information secure and will not use it for their own marketing purposes.

WheelEasy also receives data from other companies

It is possible to book WheelEasy services via our partners. These partners then provide WheelEasy with the following information:

  • first name or initials
  • last name
  • date of birth
  • address
  • phone number
  • e-mail address

From the fellow travellers:

  • last name
  • first name or initials
  • date of birth

For the group

  • arrival and departure dates
  • type of bedroom/ tent
  • the name of the hotel/campsite(s) where you will be accommodated
  • the price of the holiday offered

If we receive personal data, we will keep it safe and not divulge it to partners unless necessary as part of the execution of the service.

Why do we actually need your personal data?

In order to properly manage your booking, we need your personal data. We also need your personal data to be able to offer the regular customer discount and to be able to track the payment.

We want to tailor our services as closely as possible to your wishes

We want to tailor our website and products as closely as possible to the wishes of our guests. For this we use your personal data so that we can improve our website. Even if you complete one of our surveys or read a newsletter, we can use this information to tailor our services to your needs as closely as possible. By services we mean your holiday at the hotel/campsite, but also the way in which we approach you beforehand or afterwards on our website, newsletter, surveys, e-mail, facebook and on the telephone.

Unsubscribing. Let us know what you do and do not want to receive from us. You can do this by e-mail, by letter, online and by telephone. We process your wishes as quickly as possible, because we also want to align as closely as possible with your personal wishes.  You have to allow us to operationally communicate with you to execute the holiday rental service.

In emergencies or when required by law

If an accident or a safety operation or a similar situation occurs during your holiday, we will use your personal data. If government authorities request this, we will pass on your personal data to them. We will also do so if the law of the country in question requires us to transfer personal data.

External companies and your personal data that you have left with WheelEasy

We hire companies to assist us with our IT services, storing and combining data, marketing, market research, processing payments and providing products and services. We think it is very important to let you know that before we hire these companies, we first want to make sure that they handle your data carefully.

If we share personal data with other organizations, we make clear agreements that they will keep your data safe. The external parties gain insight into the information they need. In other words: they only have the most necessary information.

Services with their own privacy statement

This privacy statement applies to all services that WheelEasy offers. An exception are the services that have their own privacy statement. As described earlier, we also have to share your data with our partners, for example the campsite where you are going on holiday. You can assume that we always try to share as little information as possible. When you visit our website, you will also find the links to the websites of the campsites on which the holiday is offered and partners. The moment you visit this website, the privacy statement of the site you visit applies. We also work with Facebook and other social media. These social media also have their own privacy statement. Our advice: read the privacy statement of all parties carefully.

How long do we keep your data?

We use your data for everything you have been able to read in this privacy statement or because we are required to do so by law. If we use your data because we want to improve our products or because we want to analyze things, this will be done anonymously.

Cookies

Cookies are small data files that are stored on your computer, laptop or smartphone when you use the internet. We do not use cookies on our website other than for anonymous analytics.

What if you want to know what data we have about you or want to change something or have it deleted?

Of course you can always ask us what information we have about you. This data is linked to the booking of your trip. If you wish, you have that right, you can request a copy of the personal data we have stored about you in writing.

If you do, please provide us with information that allows us to identify and look up your personal data for you.

You can always ask us to correct or delete your personal data. You can also object to the processing of your personal data and, if technically possible, you can also ask us to transfer your personal data to another organisation.

We will update or delete your information unless we need to keep it for business or legal purposes.

Legal basis for processing personal data

We only process your personal data in the following situations:

Because you grant permission.

Example: booking a holiday:

When you book a holiday, you give us permission to process your personal data by agreeing to this privacy statement.

It is necessary in connection with a contract we have with you, or to take steps at your request before entering into a contract with you;

Example: To provide the products and services you request.

We need your personal data to book your holiday or to provide you with the products and services you want to buy. We also need your data to be able to make payments.

We must comply with a legal obligation

Example: sharing personal data with regulatory authorities.

In order to allow you to travel, we are required to transfer your personal data if required by government authorities at the point of departure or arrival. They often want to know this for the purposes of immigration, border control, security and or for other purposes that these authorities consider important.

It is necessary to protect your own vital interests or those of another natural person

Example: in an emergency.

Your insurance company, their agents and medical staff may share relevant personal data and certain categories of personal data with us if we/they need to act on your behalf, for example in an emergency or in the interest of other customers.

It is in the public interest or we have official authorization for a task in the exercise of public authority

Example: security operations.

We may use personal data in the event of security operations, accidents or similar incidents, including for medical and insurance purposes.

It is in our legitimate interests or those of third parties, and these interests override your interests or rights

By looking closely at your personal data, we better understand what your interests are. For example, we try to predict which other products, services and information you may be interested in. And we can make our marketing communications more relevant and interesting to you.

If we need to process medical data (or other special categories of personal data), we will only do so in one or more of the above situations.
